Our commitment to privacy and confidentiality

The Students Commission of Canada is committed to protecting the confidentiality and privacy of the personal information of its program participants, donors, employees, service delivery partners, website users, volunteers, and board members, collectively referred to as stakeholders. As part of that commitment, we have implemented this Privacy Policy. This policy applies to full/part time permanent or contracted employees, volunteers, contractors, consultants, temporary employees from agencies, and all personnel affiliated with third party service providers, hereinafter referred to as associates.

Scope

This policy sets out The Students Commission of Canada’s commitment to privacy. It governs all of its services and interactions with stakeholders: in-person, digital, online, or off-line.

The Students Commission of Canada promotes youth social, employment and leadership skills by organizing programs and conferences, and developing and distributing educational resources; conducts research with youth and mobilizes research results among youth and adults; encourages, assists and trains youth to volunteer in their communities; provides counseling services to youth; offers scholarships and bursaries; and, partners and cooperates with other organizations to promote youth social, employment and leadership skills. The Students Commission of Canada offers its services in English and French. Youth are active participants and leaders in our services, and our services are available to youth and adults living in Canada.

The Students Commission of Canada complies with all applicable Canadian laws.

By communicating with us through our website, you are providing us, our agents or partners, or other third parties (e.g., Google Analytics) with your information, and are thus consenting to the collection, use, and disclosure of your information in accordance with this Privacy Policy.

Collection of information

The Students Commission of Canada is the sole owner of the information collected on this site. We only have access to and collect information that you voluntarily give us via email or other direct contact from you.

The Students Commission of Canada does not require users to identify themselves; however, information collected may include identifying information. The Students Commission of Canada will deal with all information as private, privileged, and confidential.

If you have submitted personal information to us, other than in the context of research consent, and wish to withdraw your consent to its retention, use or disclosure, please contact us at tech@studentscommission.ca. If you withdraw your consent, we may not be able to provide some services to you.

Research consent is governed by the Queen’s University General Research Ethics Board.

Uses of information collected

The Students Commission of Canada collects personal information to provide stakeholders with the above-mentioned programs and services. We will not sell or rent this information to anyone.

We will use your information to respond to you, regarding the reason you contacted us. As necessary, your information may be also shared with our associates for services that they perform for us. We may also use your information to contact you with marketing or promotional materials regarding our programs and services.

Information regarding stakeholders is collected for: communications; requesting and managing donations; sending reminders, thank-you letters, and tax receipts; fundraising and events management; compliance; and for validating identity. Other purposes of information collection and management include creating promotional material, writing impact reports, formulating user experience stories and collecting feedback about events.

Information regarding associates is collected and used for the purposes of managing our employment relationship with them.

Stakeholders and associates may interact with the Students Commission of Canada in various ways: via phone, text, web application, surveys, etc. Each of these modes of interaction has different implications in terms of the Students Commission of Canada’s ability to identify users from the data they have given the organization

Storage of information

The Students Commission of Canada hosts its own services directly, via third party service providers, or on the cloud. Information may also be stored on mobile devices managed by The Students Commission of Canada, or on devices owned by associates.

Stakeholder information is stored in Canada. Some companies providing services to The Students Commission of Canada are located outside of Canada (including the US) and so information may be stored in those jurisdictions. Under the laws of some countries (including the US) information may be made available to the government, or its agencies, under a court order made in that country.

Use of third-party tools

The Students Commission of Canada leverages third-party tools such as Google Analytics, Facebook, Microsoft Power BI, and Twilio to support the delivery of its services. Each of these third-party tools has its own Privacy Policy and Terms of Service. It may not be reasonable to expect that all stakeholders will comprehend the various types of data processing, which include data collection, retention, use, and disclosure.

When we receive a request about the data practices of a third party, we will redirect the question to the respective privacy contact of that service provider. The Students Commission of Canada cannot take responsibility for defending or representing such third-party providers. As well, The Students Commission of Canada cannot make any claims regarding the accuracy and openness of third-party tools or their commitments regarding individual access.

You may opt‐out of a third-party service using the mechanisms provided by that service.

Safeguards

The Students Commission of Canada has a Shared Systems and Resources policy and procedure which governs all access and use of information technology under its custody and control. All associates agree to this Privacy Policy, to the Shared Systems and Resources policy and procedure, and to related policies of The Students Commission of Canada.

We follow industry standards to safeguard data against loss or theft, as well as unauthorized use, access, disclosure, copying, modification, retention, or disposal. We use a variety of physical, electronic, and procedural safeguards to protect all captured information.

Information collected for the purposes of research is subject to a confidentiality agreement, governed by the Queen’s University General Research Ethics Board.

Governance

In order to meet our obligations under privacy legislation, and to stakeholders and associates, The Students Commission of Canada has assigned a Privacy Officer to ensure compliance with legal obligations related to privacy and security, under the oversight of the Audit and Risk Committee of The Students Commission of Canada’s Board of Directors.

The Students Commission of Canada has also developed tools to assess and report on privacy or security metrics.

Review

The Students Commission of Canada privacy and security policies, practices, and procedures will be reviewed annually to ensure that they comply with applicable legal, industry, and regulatory standards and requirements and to determine whether changes are necessary or appropriate based on changes in laws or significant legal or other developments.

In case of breach

In the event of a security incident or breach, the Privacy Officer will respond immediately to ensure that the incident or breach is addressed, and that any fallout is managed with impacted individuals.
